The power of SharePoint is the flexibility it gives an information architect or business analyst to configure how information is filed, displayed and found. Unfortunately, this often leads to runaway designs that lack coherence, usability and put people right back to “I can’t find content!”
A key step in any implementation that will grow over time, is how to structure the content. This one day workshop is for people already familiar with SharePoint who wish to develop and embed a taxonomy (consisting of one or more hierarchical classifications and supporting metadata) in their own organisation’s SharePoint implementation.
Taxonomy basics: In the morning of this one day workshop you’ll learn how to form a taxonomy using Information Leadership’s methodology that has been applied in its many taxonomy assignments. This includes:
•concepts and principles
•hands-on exercises and mock user interviews
•crossing checking against the checklist of do’s and don’ts
•specific tactics for dealing with projects, intranet, subject matter expertise, case files etc
Embedding in SharePoint: In the afternoon, we then go hands-on with SharePoint (everyone will have access to a PC), on how we might embed a taxonomy into site collections, sites, lists, libraries, search and metadata columns. This is based on our successful iWorkplace information architecture methodology that is in use in over forty organisations today. We’ll cover:
•what to base sites and libraries on, and how to lower user burden of metadata entry
•tactics to cater for a wide range of audiences who need to access the same content in different ways
•when and when not to use the term store, and keywords
•how to get the best range of findability from your taxonomy
•common design patterns
Anita Rapson
Anita Rapson is a lead consultant with Information Leadership, NZ’s most experienced SharePoint Practice in compliance grade document and records management. They have done a wide range of information architecture assignments for SharePoint and other technologies in commercial, science, health, education, utility, local and central government sectors.
Anita is one of a rare bred: an expert trainer, recordkeeping and taxonomy expert (she does much the public facing PRA compliance training for Archives NZ), and an experienced business analyst who has successfully lead and participated SharePoint iWorkplace implementations. This includes while working for ERMA (now part of EPA) and as a consultant for clients in commercial, health, education and central government.
