MASTERCLASS ONE: Aligning SharePoint to business goals: Don't just say it, do it

It is common to hear consultants wax lyrical about how we have to align SharePoint to “business goals”. While this and other popular clichés like “obtain executive support” or “obtain user buy-in” are easy to say, in practice they are much harder to do. After all, if this was not the case, then business goal alignment would not be near the top of the list for SharePoint challenges.

In this workshop, Paul will offer practical guidance, tools and methods on how to tame this wicked problem. This in depth workshop will build upon the presentation on “SharePoint Governance Home Truths” and provide a more deeper, detailed focus. Paul will demonstrate how to ensure that all aspects of SharePoint delivery clearly align to organisational aspirations, ensuring all stakeholder needs are considered and at the same time, creating the understanding and commitment via an inclusive, collaborative approach.

  • Why SharePoint belongs to a class of problems that are inherently hard to solve

  • Why aligning organisational goals is hard

  • What to do when organisational goals are unclear

  • How to avoid chasing platitudes

  • Tapping into the wisdom of crowds

  • Structuring and running a great goal alignment workshop

  • Creating a walking deck

  • Building on foundations - next steps

As a take home, we will also supply a soft copy for attendees with a sample performance framework, Governance plan, SharePoint ROI calculator (spreadsheet) and sample mind maps of Information Architecture

MASTERCLASS TWO: Building taxonomies and integrating them into SharePoint: Do’s and don’ts for scale, usability and findability

The power of SharePoint is the flexibility it gives an information architect or business analyst to configure how information is filed, displayed and found. Unfortunately, this often leads to runaway designs that lack coherence, usability and put people right back to “I can’t find content!”

A key step in any implementation that will grow over time, is how to structure the content. This one day workshop is for people already familiar with SharePoint who wish to develop and embed a taxonomy (consisting of one or more hierarchical classifications and supporting metadata) in their own organisation’s SharePoint implementation.

Taxonomy basics: In the morning of this one day workshop you’ll learn how to form a taxonomy using Information Leadership’s methodology that has been applied in its many taxonomy assignments. This includes:

•concepts and principles

•hands-on exercises and mock user interviews

•crossing checking against the checklist of do’s and don’ts

•specific tactics for dealing with projects, intranet, subject matter expertise, case files etc

Embedding in SharePoint: In the afternoon, we then go hands-on with SharePoint (everyone will have access to a PC), on how we might embed a taxonomy into site collections, sites, lists, libraries, search and metadata columns. This is based on our successful iWorkplace information architecture methodology that is in use in over forty organisations today. We’ll cover:

•what to base sites and libraries on, and how to lower user burden of metadata entry

•tactics to cater for a wide range of audiences who need to access the same content in different ways

•when and when not to use the term store, and keywords

•how to get the best range of findability from your taxonomy

•common design patterns
